Privacy Notice
RecFocus Moments is a small film studio, not a data business. There are only two kinds of personal information here: what you type into the inquiry form, and the footage and photographs of your celebration. This notice covers both.
Effective27 July 2026
Applies tomoments.recfocus.com and the information handled when you work with the studio
Written to describe what actually happens rather than what sounds impressive. Where a protection has not been implemented, this notice says so instead of implying it. The effective date above always reflects the version you are reading, and this page is not legal advice.
Overview
RecFocus Moments is a celebration film and photography studio, a sub brand of RecFocus, based at 2 Wisconsin Circle, Suite 700, Chevy Chase, Maryland. This notice explains what personal information the studio handles, why, who else touches it, how long it stays, and what you can ask us to do about it.
It covers both halves of the work: the website you are reading, and the actual business of filming a private celebration, which involves personal information about far more people than the client who booked it.
The short versionNothing collected here is ever sold, rented, brokered, or traded. There is no advertising network attached to this site, no analytics product running on it, and no mailing list you can be added to without asking. The inquiry form exists so that we can write back to you.
What the Inquiry Form Collects
The inquiry form on the main site is the only place this website collects anything, and every field on it is there for a reason.
| Field | Required | Why we ask |
|---|---|---|
| Name | Yes | So the reply is addressed to a person. |
| Email address | Yes | The reply goes there. It is the only channel we use unless you give us another one. |
| Event date | Yes | The first question in this business is always whether the date is free. |
| Occasion | No | So the reply is about your celebration rather than a generic one. |
| Venue or city | No | Travel, timing, light, and whether the venue has rules we already know about. |
| Message | No | Anything you choose to tell us. This field is yours. |
There is no account to create, no password to set, and no payment detail taken through this website.
Nothing is collected passively
This site runs no analytics, no advertising pixel, no session recording, no heatmap, no fingerprinting script, and no location request. If you never submit the form, this site learns nothing about you that it keeps.
One honest caveat, true of every website in existence: your browser reveals an IP address and a user agent string to whichever server sends you a page, and that server keeps ordinary logs. The cookies page lists every host a page load on this site touches.
How That Information Is Used
What you send through the form is used for exactly these things:
- To reply to you
- To check whether your date is available
- To prepare a quote and a booking agreement
- To plan and produce your celebration if you book
- To deliver the finished films and photographs to you
- To answer a question about your booking later, including one asked years later
That is the complete list. It is not used to build a profile, to score you, to advertise to you, or to populate a mailing list. There is no newsletter. If one ever exists it will be something you opt into deliberately, and an inquiry will never be treated as consent to it.
What We Never Do
- Your information is never sold, rented, licensed, or traded, to anyone, at any price.
- It is never shared with advertisers, data brokers, or lead resellers.
- It is never used to train, fine tune, or ground any artificial intelligence or machine learning model, ours or anyone else's.
- An inquiry is private. We do not publish, quote, or screenshot what you write to us.
- No automated system makes a decision about you. A person reads every inquiry and a person writes every reply.
How Long Inquiries Are Kept
| What | How long | Why |
|---|---|---|
| Inquiry and correspondence, no booking made | 24 months | So that we recognize you if your date moves or you come back a season later, then it goes. |
| Booking records, agreements, invoices | 7 years | The ordinary retention period for business and tax records. |
| Delivered films and photographs | 12 months on studio storage | A courtesy re delivery window. See the archiving section of the terms. |
| Raw footage | Cleared after delivery and acceptance | Not archived long term. |
| Portfolio material | Kept while it is in use | Only where marketing use has not been declined. See how to decline. |
Ask sooner and we will delete sooner. An email saying "please delete my inquiry" is enough, and it does not need a reason.
The honest weak pointCorrespondence lives in an email account, and email leaves copies in sent folders and provider backups. When we delete, we delete thoroughly from the systems we control, and we will tell you when it is done. What we will not do is describe that as a cryptographic guarantee, because it is not one.
Third Parties Involved
A studio this size does not build its own infrastructure. These are the categories of company that touch information in the course of the work.
- Email provider. Correspondence passes through and is stored by a commercial email service.
- Website host. This site is served by a commercial hosting provider that keeps ordinary server logs, including IP addresses.
- Google Fonts and unpkg. The typefaces and the icon set are loaded from these hosts, so opening a page makes a request to them. Detailed on the cookies page.
- YouTube, via youtube-nocookie.com. Films are hosted on YouTube. Nothing loads from YouTube until you click play. Once you do, Google's own privacy policy applies to that player.
- Delivery gallery. Finished films and photographs are delivered through a private online gallery service.
- Payment processing. Card and bank payments are handled by a payment processor. Card numbers are never seen, entered, or stored by us.
- Accountant, insurer, legal counsel. Limited information may be shared where an audit, an insurance claim, or a legal obligation requires it.
- Second shooters and substitutes. A contracted shooter working your celebration receives the details needed to do the job, and is bound by the same confidentiality obligations as the studio.
Named vendors are not listed here because they change, and a page naming a service the studio stopped using two years ago is worse than useless. Ask, and we will tell you exactly who they are on the day you ask.
We also disclose information where the law requires it, such as a valid subpoena or court order.
Event Footage and Photographs
This is the part most privacy notices skip. Footage of a celebration is personal information about everyone in the frame, not only about the client who paid for it. It is treated accordingly.
- Camera cards are offloaded to studio storage the same day and immediately duplicated.
- Studio machines and drives are password protected and encrypted at rest.
- Access is limited to the people actually working on your celebration.
- Material is delivered through a private gallery link rather than posted anywhere public.
- Nothing is used to train any artificial intelligence model.
- Nothing from your event goes into our portfolio if you have said no. See the marketing section of the terms for the one sentence version of how to say it.
Retention of delivered files follows the archiving section of the terms. Selected material may be kept longer as part of the studio portfolio, but only where marketing use has not been declined.
Children Appearing in Event Footage
Children are everywhere in this work. A flower girl, a nephew asleep under a table, a first birthday, a graduation, a quinceañera. Pretending otherwise would make this notice dishonest.
On this website
We do not knowingly collect personal information from a child through this website. The inquiry form is intended for adults booking a celebration. If you believe a child has submitted information to us, write to moments@recfocus.com and it will be deleted.
At an event
Footage of a child at a private celebration is recorded with the permission of the adults hosting that celebration, and the client confirms when booking that they have the authority to give that permission for the event as a whole. Where a parent present at the event tells us directly, that instruction is followed on the spot.
A standing offer to any parent or guardianYou may ask, at any time, before or long after the event, that your child does not appear in any marketing use. No reason is needed and nothing has to be justified. Email moments@recfocus.com and it is done, and confirmed to you in writing.
We do not tag, name, or otherwise identify children in any public post.
Guests Who Ask Not to Be Filmed
If you are a guest at an event rather than the client, you still have a say. Tell the host, tell the crew on the day, or write to us directly at moments@recfocus.com.
How this is handled in practice, including what can and cannot be promised about wide room coverage, is set out in the guests and likeness section of the terms. The short version: we will avoid you in coverage, we will not make you the subject of a shot, and we will not select frames of you for the edit or for any marketing use.
Clients are asked to tell their guests that the celebration is being filmed. That responsibility sits with the host, and it is written into the terms.
Security, Stated Plainly
What is in place:
- Studio machines and storage are password protected and encrypted at rest.
- Delivery galleries are private links rather than public pages.
- Payment card details never touch our own systems.
- Accounts holding client material use multi factor authentication.
What we are not claimingThis studio does not hold a SOC 2 report, an ISO 27001 certification, or a formal penetration testing program, because it is a small studio and it has not implemented them. Claiming otherwise on a policy page would be a lie that is easy to write and impossible to back up.
No system is perfectly secure. Anyone who tells you their system is has stopped thinking about it.
If a breach affecting personal information ever occurred, affected individuals would be notified as required by Maryland law.
The Maryland Personal Information Protection Act
The studio operates in Maryland, and the Maryland Personal Information Protection Act (Md. Code, Commercial Law, §§ 14-3501 and following) applies to personal information held about Maryland residents.
In substance it requires a business to:
- Implement and maintain reasonable security procedures appropriate to the nature of the information held.
- Notify affected individuals of a breach of the security of a system involving unencrypted personal information, without unreasonable delay, and notify the Maryland Attorney General where the statute requires it.
- Take reasonable steps to protect records containing personal information from unauthorized access when those records are destroyed.
- Require comparable protections from service providers who hold personal information on the business's behalf.
Those obligations are the baseline this studio works to.
Your Choices: Access, Correction and Deletion
One route for all of it: email moments@recfocus.com. There is no portal, no ticket number, and no form. We aim to answer within 30 days.
- Ask what we hold. We will tell you, in plain language.
- Correct it. A misspelled name, a wrong date, an old address.
- Delete it. An inquiry, correspondence, or a gallery, subject to the limits below.
- Decline marketing use of your event, at any time. See the terms.
- Ask us to stop contacting you. Say so once and we stop.
What can limit a deletion request
- Records we are required to keep for tax and accounting purposes.
- Records relating to an unresolved dispute, claim, or legal obligation.
- Material already printed, already reposted by other people, or already cached by a platform, which is outside our reach.
What this notice does not claimThis studio is not claiming compliance with the GDPR, the CCPA or CPRA, or any other framework it has not actually implemented. Those regimes carry obligations, records, and roles that a small studio has not put in place, and a badge on a policy page is not compliance.
If you live somewhere one of those laws applies to you and you want to exercise a right under it, write to us anyway. We will do our best to honor the substance of the request, because that is the part that matters to you. We would rather do the right thing than assert a certification we do not hold.
Cookies and Local Storage
This site sets no advertising cookies and no analytics cookies. What it stores is a remembered mode preference and a one per visit marker so the opening animation does not replay on every page.
The full inventory, including exactly what is stored, how long it lasts, and how to clear it, is on the cookies and local storage page. It is short, and it is worth reading precisely because there is so little on it.
Updates to This Notice
This notice is revised when the studio's practice changes, when a new service is introduced, or when a legal obligation changes. The effective date at the top always shows the version you are reading.
A material change, such as the introduction of any form of tracking or a new category of information collected, will be reflected here before the change goes live rather than after it.
